  • We do not help find preceptor placements for students.
  • We do not clinically place visiting observer or shadow experience requests.
  • We do not process nursing students getting certifications. We process nursing degrees only.

Please contact the unit/area for further information. You and the unit/area must follow all policy guidelines.

When to Contact Clinical Placement

Only reach out to the Clinical Placement Office if HITS cannot resolve your logins issue. If you do reach out to us, please include your HITS ticket number for us to escalate support to a higher authority.

Steps to Follow

ALL STUDENTS AND UNDERGRADUATE INSTRUCTORS

  • Please check to see if you have a current Affiliation Agreement and Program Addendum with us before requesting any clinical placments.
  • Please be mindful that specific timelines must be followed for legal paperwork to be completed. If the deadline has passed to request legal for a Fall, Winter, or Spring/Summer clincal with us, the clinical request will be pushed to the next term.
  • All placement requests must be coordinated through the Clinical Placement Office with Anna Watterworth at [email protected] and ACEMAPP to ensure a consistent process.
  • Graduate nursing student placements are coordinated directly between the student and the individual Advanced Practice Registered Nurse (APRN) or physician they wish to work with. The Clinical Placement Office does not assist with securing preceptors or shadowing opportunities for graduate students.
  • Undergrad students and instructors are asked not to approach staff directly to inquire about cohort group placements. This will ensure fair outcomes in a highly competitive process and provide increased satisfaction for all. Important NOTE: All Non-UMSN individual immersion requests must be University of Michigan Health | Michigan Medicine employees.

ACEMAPP STUDENT USER GUIDE

ACEMAPP Student User Guide

All clinical placements must be managed through Alliance for Clinical Experience Matching and Placement Program (ACEMAPP), a secure platform for onboarding and documentation.

  1. Create an ACEMAPP profile. To begin the process, please contact ACEMAPP Customer Support on the ACEMAPP website at acemapp.org or call 1-844-223-4292.
    • All students will pay a $50 annual fee for participation
    • A separate request must be submitted for each individual preceptor.
  2. Complete required modules and documents. Please review the Institutional Requirement List to verify what must be completed. Your ability to begin your clinical hours may be delayed if these requirements are not completed prior to your start date.
  3. Submit health records and compliance items through your school and in ACEMAPP. If you need help, please reach out to ACEMAPP.

EMPLOYEES

If your student or instructor is a permanent or temporary University of Michigan Health | Michigan Medicine employee, have them do the process below:

  • Submit the Employee Clearance Application via ACEMAPP.
  • Once they are approved, they will be exempted from:
    • Cornerstone Learning courses (must be current)
    • ACEMAPP BBP, HIPAA, OSHA modules
    • Background Check and Drug Screen

NOTE: Health records and BLS (AHA-American Heart Association) certification cannot be waived and must be submitted through your school. Some links in ACEMAPP are internal to University of Michigan Health | Michigan Medicine and may not work off-site. This does not affect your ability to complete modules.

ACCOUNT REQUEST TOOL (ART) LIAISONS

To gain access to clinical systems, all undergraduate students and instructors must be entered into our Secure Portal System, known as the Account Request Tool (ART). Access is managed by Health Information Technology Services (HITS). If your school routinely places students with us, a designated registrar or liaison must be identified to upload this information. To begin the setup process, please contact April Stingo at [email protected].

IMPORTANT REQUIREMENTS

  • You will need to have the Windows Virtual Desktop (WVD) installed before entering or clicking on the ART website link. For more details, please see the WVD Getting Started article.
    • Web Browser: Go to virtual.med.umich.edu and sign in using your @med.umich.edu email address.
    • Windows App: Install the Windows App (free download from the Windows or Mac app store), then sign in to access WVD.
  • ART liaisons will receive secure upload deadlines from the Clinical Placement Office.
  • Student and instructor names must be uploaded 2-3 weeks prior to the start of the clinical rotation.
  • Employees of the University of Michigan or University of Michigan Health | Michigan Medicine can provide their uniqname and UMID to avoid using SSNs.
  • HITS requires 5 to 7 business days to process access (e.g., logins, IDs, parking, MiChart).
  • Late uploads may result in delayed or incomplete access.
  • Withdrawn students or instructors must be immediately removed from the system in accordance with UMH compliance policy.

Windows Virtual Desktop (WVD) Steps for Accessing the Account Request Tool (ART)

  1. Open up a web browser on your computer and navigate to virtual.med.umich.edu.
  2. Sign in using your med.umich.edu email ([email protected]) and password, then verify your identity with Okta when prompted.

    Important Note:  Did it bring you directly to a page that says there's nothing available or that you don't have access? You may be signed in with a different account. Go to the upper-right corner and select your icon (may just be your initials), then select "Sign in with a different account" to sign in with your med.umich.edu email.

  3. After signing in, you will be brought to the Windows App page. It may default to "Favorites", which probably won't show anything. On the left-side bar, select "Devices" (the icon looks like a computer monitor).
  4. Click on the box that says "Virtual Desktop" to open the Virtual Desktop.
  5. You may be prompted to sign in again. Sign in again to confirm the connection.
  6. You will be prompted to change session settings. You can select to turn off camera and microphone access before pressing "Done." You should now be successfully connected to the Windows Virtual Desktop. This would be just like accessing a computer on the Michigan Medicine campus.
  7. Double-click on a browser (like Microsoft Edge or Google Chrome).
  8. Navigate to art.med.umich.edu to access the Account Request Tool.
  9. You may be asked to sign in again or verify with Okta. Do this before continuing.

Congrats! You can now access the Account Request Tool and other applications within the Virtual Desktop, like Outlook for your email. 

Steps for Disconnecting from Windows Virtual Desktop (WVD)

  1. Click on the Start Menu at the bottom of the screen.
  2. Click where your name and icon are.
  3. Click "Sign out," then confirm that you want to sign out.
  4. The virtual desktop session will disconnect and end.

ACCESS AND TECHNOLOGY SUPPORT

Students and instructors with a confirmed placement will be granted access to required systems, based on their clinical site and role.

ACCESS LOGIN INSTRUCTIONS

  • New students and instructors will receive an email from [email protected] with setup instructions two weeks prior to their clinical start date. This link expires after 30 days.
  • Current University of Michigan Health | Michigan Medicine employees retain existing uniqname/username and passwords and will receive additional system access as needed, pending required training.
  • Be sure to let your students and instructors know that they will need to verify their login credentials before their first clinical day.
  • If they experience issues, have them contact the Health Information Technology & Services (HITS) service desk at 734-936-8000.
