Steps for Students & Instructors
Please check to see if you have a current Affiliation Agreement and All-In-One Program Addendum with us before requesting a clinical placement at the University of Michigan Health | Michigan Medicine. In addition, be mindful that specific timelines must be followed for legal paperwork to be completed. If the deadline has passed to request legal for a Fall, Winter, or Spring/Summer clinical with us, your clinical request will be pushed to the next term.
ACEMAPP Student User Guide
All clinical placements must be managed through Alliance for Clinical Experience Matching and Placement Program (ACEMAPP), a secure platform for onboarding and documentation.
Create an ACEMAPP profile. To begin the process, please contact ACEMAPP Customer Support on the ACEMAPP website at acemapp.org or call 1-844-223-4292.
All students will pay a $50 annual fee for participation
A separate request must be submitted for each individual preceptor.
Complete required modules and documents. Please review the Institutional Requirement List to verify what must be completed. Your ability to begin your clinical hours may be delayed if these requirements are not completed prior to your start date.
Submit health records and compliance items through your school and in ACEMAPP. If you need help, please reach out to ACEMAPP.

EMPLOYEES
If you're a permanent or temporary University of Michigan Health | Michigan Medicine employee:
Submit the Employee Clearance Application via ACEMAPP.
Once approved, you will be exempted from:
Cornerstone Learning courses (must be current)
ACEMAPP BBP, HIPAA, OSHA modules
Background Check and Drug Screen
NOTE: Health records and BLS (AHA-American Heart Association) certification cannot be waived and must be submitted through your school. Some links in ACEMAPP are internal to U-M Health and may not work off-site. This does not affect your ability to complete modules.
EMPLOYEE ACEMAPP COMPLIANCE APPROVAL TIMELINE
Below you will find the times when employee exemptions will be checked in ACEMAPP. In addition, there will be a final review the day all students and instructors are required to be compliant.
Fall: Last Friday in July and one week prior to the compliance deadline.
Spring/Summer: Last Friday in March and one week prior to the compliance deadline.
Winter: First Monday in December and two weeks prior to the compliance deadline
ACCESS AND TECHNOLOGY SUPPORT
Students and instructors with a confirmed placement will be granted access to required systems, based on their clinical site and role.
ACCESS AND LOGIN INSTRUCTIONS
New students will receive an email from [email protected] with setup instructions approximately one week before the compliance deadline. This link expires after 30 days.
Current UM Health employees retain existing uniqname/username or passwords and will receive additional system access as needed, pending required training.
Be sure to verify your login credentials (uniqname/username and password) before your first clinical day.

EMAIL EXPECTATIONS
All students are expected to check their @med.umich.edu Outlook email weekly. Important onboarding updates, including MiChart and Cornerstone Learning notifications, will be communicated there.
UNDERGRAD STUDENTS ADDITIONAL ACCESS
PYXIS MEDICATION CABINET
Students granted Pyxis access will use their Level 2 password.
Instructors are responsible for enrollment and training.

GLUCOMETER POINT-OF-CARE (POC) TESTING
Complete the ACEMAPP module and a unit demonstration with your instructor.
Use your Level 2 password to access the system.

CORNERSTONE LEARNING
Access to MiChart is granted only after successful completion of all required training in Cornerstone Learning. Students in clinical areas like ICU, ED, OB, or PACU must complete eLearning modules tailored to their roles. Those in leadership or MVN roles complete a "view-only" module.
UM HEALTH EMPLOYEES
Employees will receive a dual MiChart role. You must select your student role when logging in.
After training, you'll receive an access confirmation email from MiChart Security. This email will go to your med.umich.edu account within Outlook. If you do not receive this email, please call Health Information Technology Services (HITS).
MICHART SUPPORT
If you experience issues with MiChart access:
Contact HITS at 734-936-8000
If unresolved, email Clinical Placement with your HITS ticket number for escalation.
If you have not used your MiChart account for 120+ days, your account has been blocked due to inactivity. Please call HITS and state to them to remove the MiChart block.
On your first day of clinical, your Instructor or Unit Authorized Signer will initiate your online MCARD ID Badge request and direct you to obtain your badge. You may park in Visitor Parking Structure P2 or P3 temporarily on your first day only. After that, students and instructors must park in the purchased designated parking areas.

INSTRUCTORS
NEW MCARD ID FOR NON-EMPLOYEES
STEP 1: Once your school has processed you through the Secure Portal, please contact April Stingo at [email protected] to get registered to obtain your MCARD ID Badge.
STEP 2: After you have been registered, you must pay $6.00 at the Cashier's Office on Level 2 of the main hospital, east of the Gift Shop.
STEP 3: Head to the KEY ID Office Med Inn Building, RM C-158 (First Floor). Bring your license photo ID with your cashier's receipt. This is the same process that students need to take with you to get their IDs.
ALL NON-UMSN INSTRUCTORS
Once you have been processed through the Secure Portal by your school, I will send your name and information to the KEYID office to become an authorized signer. This means you will be able to register all your students to get their MCARD ID. Please follow the “STEPS TO OBTAIN A BADGE” within the STUDENTS section below.

STEPS TO OBTAIN A BADGE
STEP 1: Complete the MCARD request form listed below. Only an Authorized Signer (Instructor or Unit Authorized Signer) can fill out the form. If you have not been authorized, please do not fill out the form. Note: Unit Directors, Supervisors, and Managers are automatically granted the authority to act as authorized signers.
STEP 2: You must pay $6.00 at the Cashier's Office to obtain a MCard ID Badge. Go to the Cashier Office on Level 2 of the main hospital, east of the Gift Shop.
STEP 3: Head to the KEY ID Office Med Inn Building, RM C-158 (First Floor). Bring your license photo ID with your cashier's receipt.
NOTE: Lost or damaged MCARD will cost you $20.00 to replace.
INFORMATION
Once a student is fully processed in the Secure Portal (ART), your name is added to the parking eligibility list. After being added, you may register for a parking permit via the online system.
Parking in visitor lots is NOT permitted. It is only permitted on your first day to get your MCARD ID (Visitor Parking Structure P2 or P3) Maps and Visitor Guide.

Permits are available online only. Payment by credit card is required.

PERMIT DETAILS
Permits may be purchased up to 5 days before the valid start date.
All permits are virtual (no physical hangtags).
LICENSE PLATE RECOGNITION (LPR) RULES AND GATE ACCESS
Your license plate must be visible from the driving lane.
If you plan to back into a space, you must have a front plate.
This applies to all vehicles and will be enforced via LPR camera systems.
If you currently use an AVI device, keep it.
AVI access only opens gates and does not serve as a parking permit.
AVI will continue to operate gates during the transition to LPR, which is expected to be fully implemented by Fall 2025 thru Fall 2026.
